Go live of the new digital tools and POR updates
All members should be receiving an email today (2 nd December) with a link to log in to the Scouts new digital system. You can access the digital tools from scouts.org.uk, clicking on Sign on in the top right corner, using the email address you got the invite from and choosing “Forgotten Password” and following the steps to reset your password.
Once logged on you will need to accept the declarations, you can check and update your personal details and see what learning you need to complete in “My Learning”. All volunteers will have new safety training to complete – in most cases you will have 6 months to complete this. Some adults will have other training, either if you had training outstanding before the compass freeze or if you did not have certain modules validated. At the same time, an updated version of Policy, Organisation and Rules (POR) – the Scouts rulebook – comes into effect. This includes updates for new role titles, refers to concepts like accreditations and the new digital system and the concept of working in teams as well as updated definitions.
A couple of key rules to note:
Ratios (4.3.10.8) are clarified that there is one ratio for meetings held in or outdoors in the immediate vicinity of your usual meeting place, and for squirrels to scouts, another one for activities away from your usual meeting place.
Leaders in charge (4.3.10.1) must always have a full appointment and, for section activities where the leader is not from the section team, and all group and district activities, must be appointed in writing by the appropriate person.
New adults will have a new self service joining journey and have 30 days to submit their DBS and complete safety and safeguarding learning, 6 months to complete the rest of their growing roots learning and 12 months to gain a First Aid qualification (most will need this). The appointments committee is replaced by a welcome conversation and we have 27 volunteers already trained to do this – more details to follow.
If you have any questions or problems with the new membership system, there are support resources on line, you can ask others in your group (but its new to them too), ask me (its new to me too) or log a support ticket with the County Support Team.
